Executive Administrative Assistant

Location: Springfield, MO

Department/Program: Administrative

Reports To: Chief Executive Officer

Primary Shift: M-F, 8:00 am – 5:00 pm

Job Classification: Full -Time

FLSA Classification: Exempt

Salary: $44,000 - $46,500 per year

Travel Required (Y/N, %): Y, 20%

What you’ll do:

  • Manage and prioritize the CEO’s calendar, scheduling meetings and ensuring timely follow-ups.
  • Act as the primary point of contact for internal and external communications on behalf of the CEO. Also, act as the initial, primary point of contact for the executive leadership team housed at our administrative headquarters.
  • Coordinate and assist in preparing for board of directors’ meetings, including scheduling, agendas, meeting content, note-taking, and minutes. Manage board-related correspondence and follow-up.
  • Draft, proofread, and edit reports, presentations, and correspondence.
  • Prepare and support meetings, including logistics, agendas, and attendee communications. Attend meetings and take detailed notes.
  • Maintain confidential files and records in compliance with organizational policies.
  • Act as the agency’s digital manager, ensuring logical storage and retrieval of business-related documents, standard operating procedures, and policies.
  • Oversee office supplies and vendor relationships related to the CEO's office and administrative headquarters.
  • Assist in planning organizational events, fundraising activities, and public appearances for the CEO.
  • Support the CEO with special initiatives, business operations projects, and other duties as assigned.
  • Performs other related duties as assigned.

All you need for success:

Minimum Qualifications

Required:

  • High School diploma.
  • Minimum of 3 years in executive-level administrative support, preferably in a non-profit setting as a self-starter
  • This position requires a valid driver’s license, a reliable vehicle, and proof of insurance.

Preferred:

  • Bachelor’s degree.
  • Direct experience in supporting executive or leadership-level roles.

 

Physical Requirements

Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker will sit most of the time, the job is rated for Light Work.
